Document Legalization for Spain — What You Need to Know
Spain has become one of the most popular immigration destinations. In all these cases, Spanish authorities require the submission of Russian documents that must be properly legalized.
Russia and Spain are parties to the 1961 Hague Convention, which means that for the legalization of most official documents, an **apostille** is sufficient. This significantly simplifies the process — the lengthy chain of consular certifications is eliminated. The apostille issued by a competent Russian authority is recognized by Spanish authorities without any further confirmation.
However, an apostille alone is not enough for Spanish authorities. All Russian documents must be translated into Spanish by a **sworn translator** (traductor jurado) appointed by the Spanish Ministry of Foreign Affairs (MAEC). Only such a translation is accepted by Spanish authorities — the police, immigration office, notaries, universities and other institutions. An ordinary translation, even if done professionally, will be rejected.

Which Documents Are Legalized for Spain

Each document has its own legalization specifics and its own processing timeframes.
Birth Certificate
Apostille from the regional civil registry office (ZAGS). Required for obtaining an NIE, family reunification, visa application, enrolling children in Spanish schools and proving citizenship.
Marriage Certificate
Apostille from the civil registry office at the place of registration. Required for family reunification (Régimen Comunitario), spouse visa and registering the marriage in the Spanish Registro Civil.
Divorce Decree
Apostille from the regional court. Required for remarriage in Spain, family reunification with a new partner and resolving property-related matters.
Diploma and Annex
Apostille from the regional education authority. Crucial for the Homologación (diploma recognition) and Colegiación (admission to a professional association) procedures in Spain.
Police Clearance Certificate
Obtained from the Russian Ministry of Internal Affairs with an apostille. Mandatory for most types of residence permits, work permits and for acquiring Spanish citizenship through naturalization.
Real Estate Documents
Extracts from the land registry (EGRN), purchase agreements, cadastral certificates. Apostille via Rosreestr. Required for buying/selling property and tax purposes in Spain.
Notarized Powers of Attorney
Apostille on notarized documents. Required for managing affairs in Spain — property management, banking transactions, representation in court or before a notary.

The Legalization Process for Spain — Step by Step
The complete legalization of a Russian document for Spain involves several stages. Each one is critical — an error at any stage will lead to rejection by the Spanish authority. We go through all stages for you and ensure correct execution at every single step.
1. Consultation and Analysis of Your Request

2. Obtaining Original Documents
If you do not have the required documents, we will request them from the competent Russian authorities — civil registry office (ZAGS), court, university, Ministry of Internal Affairs, Rosreestr or other offices. This requires a notarized power of attorney issued to our representative. We will explain exactly how to issue the power of attorney properly, even if you are outside Russia.
3. Affixing the Apostille
The obtained documents are forwarded to the competent authorities for the affixing of the apostille. ZAGS documents to the regional civil registry office, educational documents to the regional education authority, court documents to the regional court, Ministry of Internal Affairs documents through the regional internal affairs authority. 4. Translation by a Sworn Translator
The apostilled document is translated into Spanish by a translator who is included in the official list of the Spanish Ministry of Foreign Affairs (MAEC). The translator issues a translator's certificate (Certificación) indicating their registration number. Such a translation is recognized by all Spanish authorities without exception.
5. Verification and Sending of Photos

Apostille for Spain — In Detail
The apostille is a standardized form of legalization introduced by the 1961 Hague Convention. For Spain, the apostille is the fundamental and sufficient form of legalization for Russian documents. This means that you do not need to go through the multi-stage procedure of consular legalization via the Spanish embassy in Moscow — the apostille from a competent Russian authority is enough.
In Russia, there is a strict jurisdiction rule: civil registry documents (birth, marriage, divorce and death certificates) are apostilled at regional ZAGS offices. Educational documents (diplomas, diploma annexes, academic certificates) at regional education authorities (ministries of education of the federal subjects). Court documents at regional courts. Ministry of Internal Affairs documents through regional internal affairs authorities. Choosing the wrong authority leads to rejection of the apostille and loss of time.
The processing time for an apostille depends on the region and the type of document. In Moscow and St. Petersburg, the process typically takes 3 to 10 business days. In other regions, the timeframes may be longer — up to 15 to 20 business days. For urgent cases, we use accelerated processing channels that shorten the timeframes by two to three times.
Note: If the document was issued before a certain date or in a region whose ZAGS offices do not issue apostilles directly, an additional authentication via the Russian Ministry of Justice may be required. We know all these specifics and choose the optimal route for each individual document.
Translation into Spanish — MAEC Requirements
Spanish authorities impose strict requirements on translations of foreign documents. The translation must be made by a **sworn translator** (traductor jurado) officially appointed by the Spanish Ministry of Foreign Affairs, European Union and International Cooperation (Ministerio de Asuntos Exteriores, Unión Europea y Cooperación — MAEC). The sworn translator has a unique number in the MAEC register and issues a special translator's certificate (Certificación de Traducción).
